The Mediation Case Administrator & Front Office Support role ensures accuracy and integrity throughout the mediation case management lifecycle while also supporting front office operations and client services within the office. This position combines mediation case administration responsibilities such as quality control, billing tasks, document management, and client portal updates with front office responsibilities that support in-person, virtual, and hybrid mediation sessions.
Core Responsibilities:
- Perform data entry with a strong focus on quality, consistency, and data integrity.
- Oversee case billing processes, including invoicing, credits, and preparing files for refund review.
- Manage briefs and document administration.
- Oversee My JW Account administration.
- Send templated emails and system notifications including confirmation emails and 5-day disclosures.
- Support post-session collections by executing timely follow-up and resolving outstanding balances.
- Manage multi-line calls with Gold Standard customer support.
- Provide front desk support, as needed, including managing client check-ins using the EASI system and ensuring a smooth, welcoming experience.
- Maintain organized and functional office facilities, including office supplies and catering items
- Support room and catering setup as well as day-of session logistics.
- Process incoming and outgoing mail and ensure same-day distribution.
- Complete special projects, rocks, and additional tasks assigned by Leadership.
